THIS IS YOU
Moco Museum, a vibrant cultural institution dedicated to contemporary art in London, is seeking an organized and enthusiastic Office Manager with a passion for both internal and external event coordination to join our dynamic team. Together with our other Office Manager, you will play a pivotal part in managing office operations while also spearheading the planning and execution of both internal and/or external events, fostering team collaboration and enhancing visitor experiences.
KEY RESPONSIBILITIES
  1. Office Management:
    • Oversee daily office operations to ensure efficiency and productivity.
    • Manage office supplies, equipment, and facilities, ensuring everything is well-maintained and stocked.
    • Coordinate office meetings, appointments, and schedules for staff.
    • Assist in administrative tasks such as data entry, filing, and document preparation.
    • Arrange travel accommodations, including transportation and lodging, for HQ employees as needed, ensuring cost-effectiveness and adherence to travel policies.
    • Welcome and host guests visiting the office, ensuring a positive and hospitable experience.
 
  1. Customer Service:
    • Manage email inboxes, chatbot, and various communication channels to promptly respond to inquiries, feedback, complaints, and visitor questions, while providing excellent customer service, offering information about exhibitions and events, and resolving issues in a professional and courteous manner.
    • Collaborate with the other Office Managers to ensure consistent and high-quality customer service across all touchpoints.
 
  1. Internal and External Event Coordination:
    • Plan and organize internal events such as team-building activities, staff meetings, workshops, and parties.
    • Collaborate closely with the Engagement Committee to organize internal company parties and events.
    • Work alongside the General Manager to plan and execute external events hosted by Moco Museum.
    • Assist in coordinating event logistics, catering, transportation, and accommodation arrangements.
    • Liaise with vendors and contractors to ensure seamless execution of events within budget and timeline constraints.
    • Provide on-site support during events, overseeing set-up, registration, and addressing any issues that may arise.
REQUIREMENTS
  • Degree-level education 
  • Minimum of 3 years of experience in office management, event coordination, or similar roles.
  • Fluency in English is required
  • Excellent organizational and multitasking abilities, with strong attention to detail.
  • Exceptional communication and interpersonal skills, with a focus on delivering excellent customer service.
  • Ability to work independently as well as part of a collaborative team.
  • Flexibility to work evenings and weekends as needed for events.
